Greetings Communications Council

As Chapman University continues its progress toward national stature we need your assistance in enhancing our communication efforts. Please help by participating in a campus-wide Alumni Communications Audit, being conducted now through April 26. This audit will allow us to streamline alumni communication efforts and ensure consistency in messaging. Through the joint efforts of the Office of Alumni Relations and Marketing & Communications, we are developing this initiative to ensure that the university is strategically communicating with alumni to result in enhanced alumni engagement.

This project results from the recent STAMATS Alumni Survey findings I shared with you. In it, alumni expressed pride for the university, and we want to maintain this momentum. However, over-communication can lead many alumni to choose to opt out of university communication. Thus, we want to ensure that the university is properly communicating through relevant media sources, leading Alumni to continue their lifelong connection to Chapman University. Your involvement will greatly help with this assessment.

  • AUDTI ACTION ITEMS – we are requesting your assistance in providing the following to Monica Shukla ’06, MS’08 (mshukla@chapman.edu / Department of Alumni Relations) by Monday, April 16 :
    • ELECTRONIC: Samples of all electronic communications to alumni during the following two-week time frame: April 1 – April 15 (include mshukla@chapman.edu in your distribution); Along with samples and timing of all regular e-communications to alumni – e.g. Newsletters
    • PRINT: Samples of all print communications (letters, brochures, solicitations, flyers) sent/given to alumni (or large sub-set of) this academic year (please include timing of distribution and targeted alumni audience)
    • SOCIAL MEDIA: Listing of all Social Media outlets used to communicate with alumni that are connected with your school/college/department (can be department/college driven, faculty driven, student driven, etc.)
    • EVENTS: What annual events do you promote to alumni, what is there timing and how is it promoted?
    • OTHER: Is there additional communication to alumni (or a sub-set of) that occurs periodically from a department/college; Who is sending it? Please provide samples/timing.

Please include any other information you think would be helpful to share for this process. If you have overall questions about this audit, please email or call me at the number below. We’ll be sharing our findings/assessment in early May. Thank you in advance for your participation.

Best Regards,

Jillian
