Cybersecurity Readiness for the New Academic Year

As we gear up for the fall semester, it’s essential to ensure that our digital practices are as prepared as our lesson plans. Cybersecurity is a shared responsibility, and your vigilance plays a vital role in protecting Chapman University’s systems, data, and community.

Key Cybersecurity Tips for Faculty & Staff

1. Be Wary of Phishing Emails
   • Watch for urgent language, unfamiliar senders, or suspicious links.
   • Report suspicious messages to abuse@chapman.edu.
2. Update Your Devices
   • Keep your operating systems, browsers, and apps up to date.
   • Don’t postpone Windows Updates.
   • Enable automatic updates where possible.
3. Use Strong, Unique Passwords
   • Avoid reusing passwords across accounts.
   • Use a password manager to generate and store secure credentials.
4. Enable Multi-Factor Authentication (MFA)
   • MFA adds an extra layer of protection to your Chapman account and other services.
5. Secure Your Classroom and Office Tech
   • Lock your screen when stepping away.
   • Don’t leave laptops or mobile devices unattended in public areas.
6. Avoid Public Wi-Fi for Sensitive Work
   • Use Chapman’s VPN when accessing university systems off-campus.

7. Back Up Your Data
   • Use Chapman-approved cloud storage (OneDrive) for important files.
   • Avoid storing sensitive data on USB drives or local desktops.
8. Be Cautious with Third-Party Tools
   • Only use software and platforms approved by IS&T.
   • Review privacy policies before integrating tools into your teaching or research.
9. Protect Student and Research Data
   • Follow FERPA guidelines when handling sensitive information.
   • Use encrypted storage and secure sharing methods.
10. Know the Policies
    • Familiarize yourself with Chapman’s Computer and Network Acceptable Use Policy and Data Risk Classification Standards.
    • If you handle student records or research data, ensure you’re following FERPA and other compliance guidelines.
11. Know How to Respond to a Security Incident
    • If you suspect a breach or data loss, report it immediately to infosec@chapman.edu.
    • Quick reporting helps minimize damage and supports recovery efforts.
